David Feinberg: I'd like to discuss my calendar process. I am using Trello/BusyCal and I enter timeblocks but have difficulty sticking to them. I'm curious to know how to use Apple reminders and BusyCal (which is a technical thing). But the main outcome I'm after is how to be more effective with my planning and timeblocks. Is it possible to use my tablet as a dedicated calendar notification screen?

  • Write down everything out of your head into one capture system and determine the things that are urgent.
  • Ask a simpler question if you haven’t got clear goals yet: “What do you want?”
  • Define your SCARY goals both for work and life that are Strategic, Challenging, Attainable, Relevant, and in alignment with your deeper Y (Why).
  • Define the goals that are in alignment to the things that you value.
  • Have a realistic time on when to achieve that goal.
  • Treat time management as:
  • Time Management - Ask how long a specific task will take
  • Energy Management - Where you should be putting it in your calendar
  • Attention Management - Identify the tasks that are aligned with your goals and values to have effective use of your time
  • Find your ultradian rhythm or your rhythm throughout the day where you have the most and least amount of energy to be creative or do a specific task.
  • Break scary goals into tiny, simple, easy steps using the Effort-Complexity Matrix. Move from hard and complex to small and doable.
  • Have a clear language in your calendar where each time block can be completed by the end of each block, that will look simple and easy.
  • Turn “calendar task” to “event” to add travel time and have distinction with other tasks.
  • Check out tasks when it’s done to have visual representation of its completion, otherwise it will automatically be placed on top of the next day’s bucket.
