With a significant increase in remote work, so does the usage of team messaging tools. The question of whether these tools help or distract us in productivity surfaces throughout teams, and is a variation of the well-known problem of how strongly interruptions at work distract workers from their actual work.
Slack and Microsoft Teams summed up to 230mn daily users (Statista, 2020) when Google Suite surpassed 2bn monthly active users (Axios, 2020). Almost 7bn actions happen per day only on Slack. As a consequence, the average worker is interrupted somewhere between 4 to 12 times every hour. That’s one interruption every 15 minutes, in the best-case scenario.
In this new remote-world-scenario, here are 5 tips to try to improve your productivity:
1. Prepare your Check-in & Check-out meetings, and don't go back on itIf you summarize what you are going to do Today, what you solved or found Yesterday and raise your hand for your Blockers, for sure your communication will be short and effective
2. Prioritize your interactions by communication levelDifferentiate your email communication between urgent assumptions, and what can wait until the end of your day
3. Centralize your mid-day potential alerts that need to be reportedBefore you stop for launch or take care of your personal life, keep 5' to check your potential alerts to be aware on what you may have missed during the morning
4. On project with a dedicated team, try to use an EOW email (End-Of-Week Email)Summarize your short cycle work communication to give the right visibility to your direct manager, lead or sponsor
5. Turn-Off your non-necessary and important notifications to keep your focusKeep only the most important, direct ones and leaders potential top-down.
