Q: I am struggling with time management. I don’t have an assistant so I am it. I get bogged down servicing as opposed to prospecting. It’s got to be my biggest challenge.
Well, I would imagine most people would probably agree it’s a problem for them. And you know, I don’t want to simplify because when you don’t have an assistant, and with the complexity of the deals, and with the seller’s demands, it is difficult to manage it all. Here is what I would suggest though. I want you to think about it this way. If you were on a million dollar listing appointment, would you answer your email, would you answer your text, would you work on anything else but that million dollar listing opportunity? Probably not, right? You’d have the time blocked and be totally focused.
So the first step is if you guys can really look at your day and say…
“I’ve got to time block big chunks where I’m in a sense on a lockdown, where I’m not multitasking, texting, emailing, taking this phone call and that phone call. That’s going to happen in my day but I’ve got to set aside time to 1) grow my business with my lead generation and 2) I’ve got to set aside a little bit of time to work on my business.”
So listening to this right now, you’re working on your business. You know, developing or implementing something new on your website or your social media, you’re working on your business. So you’ve got to chunk out sometimes. Now, I get it that you can’t be off the reservation for half a day or your clients will go nuts. But you could be busy for an hour. You could change your voicemail and say, “It’s Thursday morning, and I’m with clients this morning, or I’m in a meeting this morning, or I’m on calls this morning. If you need to reach me, please know I’ll be calling you back at 12 o’clock.”
Because see, I find that if they know that you’re not available at the moment, and they know when you’re going to be available, that they’re a lot more likely to be okay with that and to be patient.
So I want you guys to think about this thought…
Multitasking is not a virtue, it is a sin. It does not work well. It creates stress, it causes mistakes, it stretches out the work.
So if you can lock and load and make your contacts, then you can go through your emails and voicemails and do your negotiations, you would be a lot better off.
Now, because you’re all busy, I would do a few other things also. Make sure you stay as organized as you can. And I’ll tell you what I mean by that. If you guys could see my desk right now, I have a table behind my back, where I lay out my projects, and I put sticky notes on them of due dates. Then on my desk right now I have a scratch pad, a calculator, my bottle of water, and my phone and computer. That’s it. So I don’t allow any clutter, because clutter slows me down.
The next thing is really letting your family and your friends know what your schedule is, so they are not distracting you when they don’t need you in a business day.
Then I would encourage you to eliminate anything from your world that isn’t necessary or important to you, okay? So you really want to lean it out, because you’ve got a lot of burden on you in terms of work.
Then I would encourage you guys to educate your clients. When is the best time to reach you? How will you be communicating with them? So that they aren’t quite so demanding and needy.
And again, I know that it’s much more complicated than all of that, but if you could just find a couple of things to fine tune and control it makes a huge difference.
Now the other thought would be leaning on your affiliates and vendors, making sure that you’re utilizing them to their highest and best use for you. And that doesn’t mean taking advantage of them. That just means really utilizing what they can do for you. And then I would encourage all of you to keep a time log. For the next couple of weeks carry a scratch pad around with you and as you change your activities throughout your day just make a note of what you’re doing and that way you’re going to start to be very aware of where the time is being wasted, what’s consuming a lot of your time and where you might be able to make some changes.
