United Policyholders (uphelp.org) has an excellent resource Top 10 Insurance Claim Tips - Tip #1 from United Policyholders: "Be pro-active in the claim process and keep good notes. Make sure you maintain a paper trail."

From the moment that you call your insurance company regarding a potential or active insurance claim, you should be taking detailed notes. Track names, dates, conversations, instructions, agreements, commitments, etc. You want your insurance policy to protect your assets and do what it is supposed to do in the event of a covered loss, which is to restore you to resemble pre-loss conditions. A key distinction that many home and business owners do not make is the one between an insurance agent and an insurance adjuster.

  • Your insurance agent is the local representative with whom you consulted and purchased your insurance policy from. Often when you make a claim you will contact this person as they are the face of the company for you.
  • Once a claim is filed, you will be working with an insurance adjuster. This is the person, or persons, who will help to assess and determine what is covered and/or excluded from your policy as it relates to the claim.

  • In your personal claim notes, keep track of who you spoke to, when you spoke to them, what they role is, and clarify WHO will be doing WHAT and WHEN. You want your insurance policy to do what it is supposed to do during the event that you need it to cover what you purchased it for. Your agent and your adjuster(s) will play important roles in this process.
