In this episode on the AP Now podcast, Mary Schaeffer and Teri Cook discuss the many problems associated with a manual paper expense reporting process. In this episode, Teri focuses on events that happened at a former employer. The organization was mired in paper and the problems one often encounters in a paper-based world. She began by enumerating the problems.
She then shared the trigger event. In this case, the organization was not getting detailed meal receipts nor was it requiring the use of a company card. One day, a large meal receipt looked suspicious. There was no detail and it had been put through on a personal card and the receipt showed a tip added on by hand. Since it was an event with a largish number of employees, the tip may have been already included in the total. So, Teri called the establishment and asked for the detailed meal receipt. As you might imagine, they found gift cards had been added on and the employee added a tip, which did not go through on the credit card.
The organization decided to automate the process. Teri shares a list of the issues the organization addressed in that process. In closing, she warned against focusing too much on the individual issues and ignoring the big looming ones.
