Today in this episode, I share data points that are beneficial to collect on your event registration form to meet the needs of your attendees. It is best to keep registration forms as short as possible while still collecting the critical information.
1. Ask how they heard about the event so you are aware what marketing method was successful in converting your community to an attendee.
2. Ask what the attendee top priorities are in attending the event.
This could be a drop down list of things like education, networking, training, entertainment and others. This helps to understand the mindset of the attendee going into the event. You can also include questions you may want to collect in advance for presenters during sessions.
3. Social media “handles.”
This is nice to collect so you can tag and welcome new attendees joining you on social media and keep in touch with them throughout the planning and on-site event. It also helps you know which platforms to concentrate on with your event marketing campaigns
4. Emergency contact information.
Hopefully, you never have to use this information — but knowing whom to contact if an attendee needs help is invaluable.
5. Disability Accomodations
The Americans with Disabilities Act requires companies that lease space in public facilities for events, conferences, seminars or meetings to ensure those activities are accessible to people with disabilities. You may need a sign language interpreter, wheelchair access, accessible reserved seating, accommodation for a service animal, close captioned vidoes or other items.
6. Dietary requirements and food allergies
You want to ensure your attendees can enjoy all the meals and break foods that you offer. Ask them to submit their requirements so you can share this with the chef and come up with alternative options for those that need it.
7. Session and activity choices
If you are offering multiple sessions or evening events, ask attendees to select what they are planning to attend so you are aware for seating arrangements, food and beverage and other elements that will be impacted.
Giving away free shirts? You’ll need to know the correct sizes when ordering. If you have color choices, add that so they get something they love!
Ensure you are managing your attendee's personal information with care. There are many laws like GDPR that require this.
10. If you are collecting payment, make it automated and easy. In addition, if you need to know attendee hotel details for the event, ask this on the registration forms so you have everything in one place to organize transportation, room gifts and more.
