    Suddenly, your podcast has turned into a time-sucking monster. Let's tackle the common woe with my top 5 podcast productivity tips.

    Finding efficiencies and production hacks comes up from time to time with our clients so it was no surprise when one of them (who recently ushered a tiny human into the world) as for some tips. Juggling everything with her business, parenthood, and podcasting was suddenly feeling like too much but there was no way she was giving up her best lead generator.

    The solution? Amping up efficiency. Here's the good news — don't need to be sleep-deprived from baby duties to benefit from a sleeker production process.

    Here are my top 5 tips for improving podcast productivity:

    1. Plan More and Better

    Our first stop on the journey to podcasting efficiency: planning ahead like a seasoned pro. I've got a gem for you – a 90-day content calendar. Imagine having a roadmap for your podcasting escapade, knowing precisely what lies ahead and when. This isn't just about rescuing time from the clutches of chaos; it's about tapping into a wellspring of creative energy. When you're not grappling with last-minute decisions, your creative juices flow effortlessly, like a river surging after a spring rain.

    2. Embrace The AI Revolution

    Ah, AI – the contemporary magician of efficiency. Embrace AI as your trusty sidekick. This technological marvel isn't just for whipping up recipes with your pantry staples (though it's surprisingly good at that). AI can propel your podcasting game to unparalleled heights. Use AI to brainstorm topic ideas, craft script outlines, suggest interview questions, and even handle post-production tasks like show notes, transcripts, and social media content. During interviews, start a clock when you hit record then, armed with a trusty pen and paper, jot down notes – what to keep, feature, chop — this will streamline your editing process. Even for solo shows, this rule still holds – production notes are your best way to track pickups, best takes, and even promotional snippets. Doing this will save you a mountain of time during editing and promotion.

    4. Have Systems, Dammit.

The crown jewel of systems is your file management. Every file has to have a home. Create a folder system that houses each show, its assets, and all recorded elements, each episode basking in its well-organized haven. And don't underestimate time blocking; it's not just for the corporate realm. Block out your schedule, set deadlines for pivotal production components, and establish a hub for seamless team communication. And don't forget templates! Whether it's your production blueprint, episode outlines, show notes, or even email and social media templates – they're the secret to saving time and maintaining consistency.

    5. Master the Art of Batch Recording

    Imagine if you could get the savings of a Costco spree, and apply it to your podcast production time. That's the power of bulk, baby. In the podcast world, it's called batch recording. When you're not operating from a permanent studio, this technique is pure gold. Record multiple interviews or solo shows in a single session. Here's a pro tip: sync this strategy with batching other production elements like script outlines, research, or email outreach. Your vocal stamina might be the only limit, but you'll soon find your groove.

    That One Shortcut That's a No-Go

    Now, let's talk about a contentious shortcut: AI-driven editing. I'm not on board with this one. AI-edited content often feels robotic, with every breath and natural pause scrubbed away. Real people breathe, they hesitate, they say 'um' and 'ah.' If you're considering AI for the heavy lifting, that's fine – as long as you or your editor fine-tune the results. After investing so much time and effort into your show, the last thing you want is for your listeners to question your authenticity.

    You want action? You better ask for action. And you better ask right! I'm talking about the keys to dropping an effective call to action in your podcast.

    You know, it's surprising how often I come across podcasters who either skip or mess up the call to action in their shows. So, let's fix that!

    I've talked about the importance of the Call to Action before but today, I'm arming you with the tools you need to make your CTAs more effective. There are three critical components to include in every CTA: Why, What, and How.

    First up is the "Why." Don't underestimate the power of this part. If you want your listeners to take action, you must tell them why. What's in it for them? Remember, it's not about you; it's about what benefits they'll get. If they understand the value they'll gain, they're more likely to act.

    Next comes the "What." Never assume your audience knows what action to take. Be crystal clear about the specific action you want them to perform – whether it's visiting your website, subscribing, downloading, or anything else.

    And finally, we have the "How." This is about going the extra mile to explain precisely how to take that action. A simple "download" won't cut it. Be detailed and make sure they know the exact steps to follow. When you provide clarity, your listeners will feel taken care of, and that's what we all want, right?

    Now, here's a little secret: your call to action isn't always about sales. Sure, it could be, but it doesn't have to be every time. Match your CTA to the content of your episode, and you'll see better results. Context is key!

    When you listen to this episode, pay attention to how seamlessly I weave my CTAs into the conversation. They are relevant to what I'm discussing, making them feel like natural next steps for you, the listener. No pushiness, no awkwardness – just logical next moves.

    Tip #1 - an interviewer's greatest skill is to know when to be quiet and actively listen. Yes, having prepared questions is important, but true magic happens when you listen attentively to your guest's responses. Lean in, get curious, and ask follow-up questions, challenge your guest, or ask for examples and stories to uncover those golden nuggets of wisdom.

    Now, let's talk about interrupting. Tip #2 is to avoid excessive interruptions. While some interruptions can be compelling, too much of it can annoy your guest and frustrate your listeners. Find the right balance to maintain a smooth flow of conversation.

    Moving on to Tip #3 - always represent your listener. Think about what your audience might be curious about or need clarification on, and don't hesitate to ask those questions. Your listeners will appreciate your thoughtfulness and feel engaged throughout the episode.

    Here's a reminder for Tip # 4 - editing is your friend. Knowing that you can edit the conversation later allows you to relax during the interview. If a guest goes off-topic, no worries, you can cut it out. Just be cautious not to over-edit, as you still want the conversation to feel natural and authentic.

    Last but not least, Tip #5 - embrace the power of silence. Pauses in the conversation can add comedic, emotional, or dramatic impact. They pull your listeners in and keep them engaged. Don't be afraid of a little dead air; it can work wonders.

  • 187 The 1 Thing 90% of Podcasters Don't Do That Hurts Their Podcast Authority

    There's one key practice that I've noticed the majority of podcasters neglect. It's something that puts them at risk of wasting time, sounding like amateurs, and subjecting their listeners to sub-par audio. Can you guess what it is?

    Testing. Yes, testing your microphone and system before you hit that record button. It might seem obvious, but you'd be surprised how many podcasters skip this step. And the result? Terrible audio that could've easily been avoided.

    Believe me, I've had countless clients who complain about their audio sounding bad. And you know what my first question to them is? "Did you test?" It's a question they hate because the answer is almost always "no."

    Podcasters often get complacent. Their system worked fine yesterday, last week, an hour ago, so they assume it'll work just fine again. But it's only when they listen back to their recordings that they realize their audio quality is poor. And let me tell you, poor audio hurts your show and your credibility.

    Imagine being a master chef, passionately creating a culinary masterpiece. You carefully select the freshest ingredients, measure with precision, and artfully combine flavors. But wait! There's just one problem—you never tasted the dish. Neglecting to test your mic and system is like being that oblivious chef, serving dishes without knowing if they're perfectly seasoned or a disastrous mess.

    Now, for all you ambitious podcasters out there using podcasting as a recipe for business success or establishing yourself as the ultimate flavor connoisseur in your niche, this is for you. When your audio quality leaves a bitter taste in your listeners' ears, it's not exactly a recipe for authority.

    So, what does a test look like? Good news—it only takes 90 seconds. Heck, it can even take just 30 seconds! Here's what I do (hit play to get more details on each step):

    1. Fire up my system and check my settings.

    2. Tap my microphone to ensure it's the correct one being recorded. I always wear my big headphones for this, and I recommend you use wired headphones too, not earpods or Bluetooth ones.

    3. If I had guests on the show, I would check their microphone levels and make sure they were using the correct mic by doing the tap test.

    4. Hit record on my device or platform and record a short test.

    5. Listen to that test with headphones! This step ensures I'm solid and not guessing. I pay attention to background noise, crackling on the line, or anything else that might distract my listener.

    6. If I need to make any fixes or adjustments, I troubleshoot until it sounds right.

    After this quick run-through, I can record with confidence. My show's quality is not at risk, and I know my audience will enjoy a great-sounding show without any effort on their part.

  • 185 Why Your Podcast Guest Intros Suck (Steal this Pro Guest Intro Format)

    In this episode, I share the very simple podcast guest intro format that I learned from 30+ years in radio and 10 years in podcasting.

    Here's what's not in the perfect guest intro — aka the most heinous crimes committed against guest intros.

    First, reading your guest's bio from their website—lazy and unimpressive. Don't waste my time with all of their accomplishments if they don't have anything to do with why I showed up as a listener.

    Second, mispronouncing their name and not bothering to edit it out—ouch, that's a big no-no. Lastly, the ultimate offense: asking your guest to "tell us about yourself." Remember, it's not a question, and it's not what great hosts do!

    As a podcast host, it's your job to do your homework, curate the information for your listener, make sure it's all accurate, and then connect the dots for your listener so they have enough context to keep listening. All the rest, can be covered (if needed) in the interview.

    So, follow the simple format I give you for an expert podcast guest intro and get on with it. Your listeners deserve better.

Not only that, but I also explain how understanding your purpose should shape your role as a podcaster. Brace yourself, because it might mean making a few adjustments to better support your main objective (aka the next step you want your listener to take).

    Reason #1 - Grow Your Community:

    Podcasts have a remarkable power to bring like-minded people together. As a business owner or entrepreneur, using a podcast to build a community in your niche can be a game-changer.     Think of your podcast as a fantastic top-of-funnel strategy. If you're in it for this reason then your podcast needs to be a powerful tool that drives discovery and encourages listeners to move forward in your marketing funnel. that might look like downloading your lead magnet, scheduling discovery calls, or even visiting a page that allows you to retarget them with ads. A podcast can generate valuable leads for your business if you are intentional with your content and strategy. Just remember, if you choose this as your reason for podcasting, make sure you have a proven funnel in place to make the most of this opportunity.

    Reason #3 - Build Authority:

    Do you want to be seen as the go-to expert in your field? Are you eager to establish yourself as the real deal? Having a podcast is like a credibility booster, allowing you to showcase your expertise and stand out in your niche. This reason for podcasting is especially powerful for coaches, course creators, service providers, thought leaders, and innovators. It's a fantastic way to build trust and credibility, particularly if you have higher-priced products or services or if you're looking to sell a book or grow your speaking business.

    Believe it or not, you can sell directly from your podcast! However, it's crucial to tread carefully. There's a fine line between genuinely serving your listeners and turning your show into an infomercial. If your business offers solutions for urgent issues or has lower-priced products that don't require extensive trust or loyalty, this reason for podcasting could work wonders for you.

    Reason #5 - New Revenue Stream:

    There are a lot of entrepreneurs who gravitate toward this reason for podcasting because who doesn't want another revenue stream? In this case, instead of using your podcast solely as a marketing tool, you have to think of it as a business in and of itself. To monetize your podcast, you need to grow your audience to a significant enough size to attract sponsors and advertisers who want to reach your loyal listeners. In other words, you're selling your audience instead of selling to your audience, and that changes your strategy and content.     You might think of YouTube as that place for videos. This is why you might also think it's no place for an audio-only podcast. But, you're wrong and in this episode, I'm going to explain why you need to rethink YouTube and get your podcast on there, like NOW!

    As a podcast coach, I often get asked the question, "I'm on Apple Podcasts and Spotify, what else is there?" And while these are definitely the big players in the podcasting world, historically, YouTube is the future.

    Now, before I dive into this, I want to acknowledge the impact that Apple has had on podcasting. They've been supporting podcasts since 2005, created their own app in 2012, and since 2014, it's been pre-installed on every iPhone. For almost two decades, Apple Podcasts was the dominant place to discover and listen to podcasts.

    But here's the thing: nearly 75% of people listen to podcasts on their phone, and globally, Android phones represent over 70% of the mobile market. This means that the audience for podcasts is not just limited to those who use Apple products.

    The third most popular platform for listening to podcasts is Google Podcasts, or should I say, YouTube Music. Google is rumored to be scrapping Google Podcasts altogether and moving them to YouTube Music.

    Even if we leave the world of speculation and just deal with the facts of today - you can't deny that accessing 80 million premium YouTube users is well worth the effort.

    Need a few more reasons to get your podcast on YouTube? For starters, YouTube is owned by Google, so having your podcast on YouTube can actually help with your SEO and increase your visibility online. Plus, YouTube is a great platform for building a community around your podcast. You can interact with your listeners in the comments section, create behind-the-scenes videos, and even live-stream your podcast recordings.

    And let's not forget about monetization. YouTube has a built-in ad program that allows you to make money from your content (once you hit specific milestones). Plus, if you have a large enough following, you can also get sponsored and do brand deals.

    I can tell you from personal experience that being on YouTube helps you reach potential customers. I've had clients who found me on YouTube. They'd never listened to any of my episodes on a traditional podcast player - it was a relationship started and nurtured entirely on YouTube.

    "But Coach, I have a face for radio! I don't want to be on camera!" Surprise! You don't have to be on camera.

    You can simply upload your audio with a static image or create some fun animations to go along with it. All of my episode videos have an animated waveform over my show poster. That's it. Plenty of people listen to YouTube instead of watching it - they treat it like a podcast already!

  • 182 The 7 Mindset Traps that Kill Podcasts (and How to Avoid Them)

    Tired of people telling you success is all about mindset? Well, too bad because the success of your podcast is 100% on you having the right mindset. If you don't it could kill your podcast way before it's time.

    In this episode, I share 7 of the common mindset traps I see podcasters deal with plus I share the one antidote for all of them. As a podcaster, you might find yourself in one or more of these traps so you'll want to find out how to avoid them and escape them. Check out how common these mindset traps are - I bet you'll recognize some!

    As a podcast coach, I've noticed that podcasters often get stuck in the trap of perfectionism, which leads them to re-record stumbles or edit out every "um" or "ah." This is not only unrealistic but can also lead to inauthenticity. Sometimes this is triggered by another mindset trap - comparisons. And the spiral continues if this leads to another mindset trap, expectation.

    The scarcity mindset, where you feel fiercely competitive with other podcasters and believe that there is not enough to go around, can also kill your motivation to keep going. This mindset trap often goes hand in hand with negative self-talk, another mindset trap.

    Having a fixed mindset and dealing with imposter syndrome are two more mindset traps.
