  • SYS 025: How to give feedback that actually improves future behavior

Giving constructive feedback is a skill which often needs perfecting if you want to positively affect behaviour within your business. Join Steve as he discusses a four step model which can help you deliver feedback in the most impactful and professional way. Learn the importance of ensuring you always use the present tense, encouraging future behaviour and never giving written feedback.

    KEY TAKEAWAYS

    • Giving good feedback is an art and a skill which you need to practice. Using the right tools can make this much easier. Feedback has one purpose, and that is to improve future behaviour, with that in mind it is important that you deliver feedback in a structured way.
    • Nobody can change the past and if you talk about an incident in the past tense, the person you are talking with could become defensive and come up with excuses as to why something didn't work. Instead, talk in the present tense.
    • There is a four step model to giving feedback. Firstly, you ask the person if you can give them feedback. Secondly, state the behaviour in the present tense. Then, state the impact of the behaviour and finally, encourage future behaviour.
    • By using this same structure to give both positive and negative feedback, you are training yourself to give good feedback for both scenarios.
    • Try to avoid ever giving feedback via written text. Written text is time consuming to write and can easily be misinterpreted. Recording videos that the person can go back and review is a much better option, that person can see that no matter what the feedback is, your intentions are good.

    BEST MOMENTS

This is an absolute make or break. It is something you have got to learn how to be brilliant at.”

    “Nobody can change the past.”

“That person can see that your intentions are good.”

“It will have a positive impact on future behaviour.”

  • SYS 024: It Is All A Numbers Game - Josh Keegan Interview

Property entrepreneur of the year, creator of Fast Track Finance and chartered accountant, Josh Keegan joins the show to share his wealth of knowledge about how you can make your business profitable and manageable. Together they discuss why too many entrepreneurs focus on growth and neglect their profits, why finance is an investment not a cost and why every decision you make needs to be financially backed.

    KEY TAKEAWAYS

    • Too many entrepreneurs only focus on growth and end up not making a profitable business. One thing to remember is, always ensure that your growth is considered. There is nothing wrong with considered growth if growth is a means to an end. Growth is fine, but it can mean your profits do not match your growth.
    • When you create your business model, start at the bottom before you get to your end game. Firstly you should ask yourself how much you want to draw from your business on a monthly basis.
    • The most important thing, which is often the last thing entrepreneurs think about, is how they are going to get clarity on their numbers. Finance is an investment, not a cost. You need professionals to do your finances, whilst a VA can do some stuff for you, they are not financial experts.
    • Every decision needs to be financially backed. Decisions should never be based on an emotion, they should be backed on hard financial information. You need to know your current profits in order to increase your revenue.
    • Everybody is scared about the potential tax they may have to pay if they do not hire a tax accountant. Pay for a tax accountant that will do a one off appointment who can give you start up advice.

    BEST MOMENTS

“Don’t think of the top line number, think of the bottom line number and the top line comes as a result of that bottom line.”

“It is all a numbers game.”

“If you cannot measure something, you cannot improve it.”

“The best time to hire a virtual assistant is yesterday.”

  • SYS 023: You Can't Run a Successful Business Without These Seven Apps

Discover today the 7 essential apps that will help you run a successful, efficient and productive business. Join Steve as he talks through the importance of ensuring you have a decent screen recording software, why it is more efficient to use a smart virtual meeting software and why investing in good cloud based office apps can allow you to access your important documents from any device, anywhere in the world.

    KEY TAKEAWAYS

    • You cannot run your business without decent screen recording software. A screen recording app allows you to record your screen and your voice at the same time as well as allowing you to include your webcam in it. This allows you to produce guides by demonstrating things on the screen whilst narrating.
    • To run a successful business you need to ensure you have decent cloud based office apps. These are things such as spreadsheets, word type documents and online presentations. It is available in Microsoft and Google and it allows you to make sure you do not have conflicted copies and means you can access documents from any device. If you have harddrive corruption or you lose your laptop, it doesn't matter since you have saved everything to the cloud.
    • It is important for the smooth running of your business to have smart meeting software. Without online meeting software you are forced to meet in person or talk via telephone, these are nowhere near as efficient as using online software. Have a compulsory policy that everyone has their cameras on in every meeting, this helps your team gel and increases the team working capabilities which is massive for productivity.
    • In a modern business you need an internal instant messenger app. There are circumstances where you need to get hold of people quickly and instant messengers are the way to do that. It allows you to create groups and have individual conversations. Try not to discuss tasks in the instant messenger app, instead use your task manager app to discuss tasks and ping the reminders within your instant messenger app.

    BEST MOMENTS

“You can build rapport and people can see your facial expressions, 70% of your communication is non-verbal.”

“It just makes life so much easier.”

“The world has seen over the years that a huge amount of work can be done remotely.”

    “This increases productivity.”

  • SYS 022: The Product Mentor - Interview with Mike Corradini

In demand startup mentor, consultant and dedicated entrepreneur Mike Corrandini joins the show today to talk about how he has helped over 2,000 entrepreneurs grow their businesses into the successful, systemised machines they so desperately desired. Together, Steve and Mike discuss the importance of having a mentor, the benefits of customer and business surveys and why following a specific framework can allow you to systemise your success.

    KEY TAKEAWAYS

    • Most people want push-button profits and do not want to work hard for them. Whilst the appeal to have people do everything for you is understandable, you have to learn how to do it yourself. Once you get your framework ironed out, you can run the business alone with the option for additional advice.
    • A lot of entrepreneurs will make something and then hope and pray that it sells. In some cases, there are a lot of existing business owners with mediocre sales but something is not perfectly aligned. In that case, you can always go back and challenge your assumptions and see if there is a better product-market fit out there.
    • Most entrepreneurs out there do not have the ‘sweet spot’. A great way to get feedback is to run consumer or business surveys. Survey Monkey is a great tool to use because it is virtual and also has demographic selections built-in.
    • If you do not have a coach, you are selling something that you do not believe in, it is a no brainer to be mentored. Find yourself a coach appropriate for the level you are at now and who has already walked the path that you are trying to get on and listen to their advice. Letting someone else make the mistakes first is a wise decision.
    • You absolutely can systemise your success. There are people out there who have never started their own business before, who have followed the system and get their desired result. Some people are inexperienced when they start out but they have faith in the systems and are able to put their egos to the side and admit that they need the help of systemizing to get them their results.

    BEST MOMENTS

“Let's get some systems in place so that you don’t need me forever looking over your shoulder.”

“We want to find the best product-market fit before you actually finish or create that hiring curriculum.”

“Plug in with the right systems for your own benefit.”

  • SYS 021: Don't Trade Your Time For Money - Interview with Kevin Whelan

Wealth mentor, Author and podcaster, Kevin Whelan joins the show today to discuss his motivation behind ensuring he no longer was reliant on trading his time for money and how he created the simple process to help people become financially free in as little as five years. Together, they cover everything from pushing back on traditional financial viewpoints, how to create a self-replenishing bank account that will last for generations and how to create recurring income whilst continuing to give recurring value.

    KEY TAKEAWAYS

    • Recurring income is at the heart of wealth. Business and assets are the real skill when aiming to be financially independent. Anyone can follow a step-by step process to financial freedom, whilst it may be an easy process, it is not a quick one. The road to financial independence is about five years.
    • There are many people discovering new ways to live their life financially free and not having to wait until their sixties or die without seeing any form of retirement.
    • Kevin is keen on pushing back on tradition and encouraging people to be empowered by themselves and get enough knowledge, support and connection. This is to ensure people do not feel isolated and do not feel they cannot trust people. Wealth Builders is a thriving community of like minded people with a singular focus, of becoming financially independent and enjoying the journey along the way.
    • The money doesn’t die, the money perpetuates. Traditionally, when you build your nest egg you create a legacy and then you distribute that legacy. However, people typically do not get around to discussing money with the next generation. It is hugely valuable to treat the next generation with respect and give them the chance to use the money you have accumulated to give them choices and options as well as giving them the wisdom to carry on with your thinking and perpetuate your wealth into a self-replenishing bank account serving the next generations.
    •   As long as you have the ability to satisfy and solve the problems of other people there is no limit to the amount of return on your investment you can make. You can turn your investments into an infinite return particularly if you do not need to be in the business.
    • Business is as much of a trap as any other activity because when people pursue their passion, people can get caught in the trap of trading time for money. If you have a business which consistently solves the problems of your customers, and you continue to focus on adding value then the longer your customers will stay. Therefore they continue to get recurring value, and you continue to get recurring income.

    BEST MOMENTS

“I had the chance to not have to start and trade my time for money.”

“That would have been so much more valuable in how I live my life.”

“It is all about leaving a legacy within people not leaving a legacy to people.”

  • SYS 020: Escape The Rat Race - Christian Rodwell Interview

In this episode, Steve is joined by director of WealthBuilders, best-selling author and successful podcaster, Christian Rodwell who discusses his decision to leave the comfort of his 9-5 job and start up his own company helping and advising others to do the same. Together, they discuss how it has never been easier to start up your new business, the importance of creating assets and why waking up and feeling happy is the definition of success.

    KEY TAKEAWAYS

    • When you do something you are not passionate about, you kind of wake up and think ‘I am just going through the motions’. You may feel as though you are on the hamster wheel that so many others find themselves on. Many people find themselves trapped by work and end up spending the next 20 years doing the same job which they are unhappy in.

  • Thankfully, things are changing. The entrepreneurial spirit is alive and kicking these days. It has never been easier, with the help of technology and systemisation to be able to start up a business and connect to people all across the world.

  • In order to stop trading your time for money you need to learn how to build and create assets. This way, your assets will begin to work hard for you rather than you working hard for money.

  • For anyone who is in business on their own, if you are feeling pain definitely look at who is around you that you could collaborate with. Becoming a partnership in business is a big help however it is important to find one that lasts. Finding skills that compliment each other's weaknesses is a great way to share the workload which can have a huge impact on your success.

  • Pensions are one of the most overlooked assets that exists because most people have got a pension and most people have got a sizable sum. Many people think that it is locked away and that they are unable to access it until they are 55 but that is not the case. There are certain pensions for business owners which allows you to access your pensions and start to use them in your business and property portfolio. It is a way to leverage that money that you think is locked away.

  • Success means different things to different people but if you wake up happy then you are successful.
  •

    BEST MOMENTS

“I decided that yes, now is the time for change.”

“We could work together to create something bigger.”

“You can transform your pension right now.”

    KEY TAKEAWAYS

    • KPI’s & Goals – Having an overview of what the company KPI’s and goals, especially if specific can be incredibly useful for virtual employees, it provides clarity and context to the work they are doing and can also help them prioritise.

  • Issues – Going over issues in the company meeting with virtual employees present means that they can get their questions answered, weekly. This means they do not feel like they are hassling managers or stressing as they know each week they can ask questions that will be answered.

  • SYS 018: Hiring the right people Step 7: How To Onboard a New Employee Like a Pro

In this episode of SYS Hiring the Right People, Steve talks about how he on boards a new employee and the benefits of taking the time and effort to do this well. This is an essential step to ensure they become a productive team member as soon as possible, but it also creates and sets the tone for building a trusting, strong and long lasting relationship.

    KEY TAKEAWAYS

    • It’s worth spending the time and effort in on boarding your new employee. You want to start the relationship off on a high and give yourself a stable platform to build on.
    • One of the first steps you can do is send them an email where you invite them into a welcome meeting as well as getting them on your task managing software. You can also use this email to include all necessary info they will need to get started, such as their contract, manager info etc. It is also worth outlining your expectations, in terms of hours of work, communication and company policies too.
    • Next you want the staff member to set up all the systems they will need to use, in a sense they are on boarding themselves. It saves you time and means they will gain some confidence and experience within the systems.
    • You can ask the employee to complete all training before they start. It’s as simple as giving them training videos showing them how to use systems, how to communicate etc. It means you will create the video once and you can use that again and again with any new hire. Then, when they have their first day, they are all set-up and know how things work already. It makes you look very professional and efficient as a company as well as saving you time and money.
    • Structured weekly 121s are invaluable. Not just in a work-related sense but by providing a space that if an employee needs to talk about something they can. This builds trust and a great base for a strong and long-lasting relationship.

    BEST MOMENTS

“You don’t want this person to leave in 2 months’ time and go off and find another job…you want them to stick around because of that investment of time you spent on them”

“When you are everything in your business these are often the last things you think about”

  • SYS 017: Hiring the right people Step 6: Essential Checks Before Making Your Final Decision

In this episode of SYS Hiring the Right People, Steve talks about how to make your final decision when hiring, an essential step to get right or you will have wasted time and energy on on-boarding the wrong person. Steve goes over some last-minute checks and tests you can do to ensure you get the right final candidate!

    KEY TAKEAWAYS

    •  Two things you can implement to ensure you make the right decision with your final candidate(s) is to give them either a paid test tasks or a trial period. The aim of a paid test task or trial period is you give them a piece of work that is going to give you an actual example of what it would be like for them to work for you.
    • This isn’t the time to ‘trick’ people or push them, you want to give them clear and easy instructions to follow to ensure they can perform. You can help them grow and develop once they work for you.

  •  It can be worth hiring someone with less experience that you can then tailor to your way of working – making them a cheaper overall hire as well as working in the style you want them to.

  • Collate all the information you have about the candidate and look at it all as one big picture. It can be helpful at this point to also read through their CV and check their references.

  • SYS 016: Hiring the Right People Step 5: How to Run the Perfect Live Interview

In this episode of SYS Hiring the Right People, Steve talks about how you can run the ultimate live interview. By this point you have had your candidates go through multiple checks and you are fairly certain they have the right skills, attitude and experience to work with you, but it’s still key that you do a live interview otherwise you risk wasting both time, effort and money on-boarding someone who might not be right.

    KEY TAKEAWAYS

    ABOUT THE HOST

Steve used to be a slave to his business but when he moved to Sweden in 2015, he was forced to change the way he worked. He now lives in Sweden and runs his UK-based businesses remotely with the help of his team of Filipino and UK-based Virtual Assistants.
