When designing the job descriptions in your practice, it is important to look at the big picture before we dive into your Dentrix software. First, let’s identify the vision of this position and what outcome or result you desire. After we look at the 37k foot view of this job description, then we can start drilling down into the weeds and what tasks are needed to accomplish the result. The person who will fit into this primary role will need to have the personality type, skills, and character to fill these shoes.

Let’s kick off 2023 by diving into a topic that relates to the entire team and discovering what your primary role is in the practice. Now, I understand if you are the doctor or a dental hygienist that your primary role in the practice is clear and focused. However, it is interesting to me how often I talk with team members about what they do in the practice and often times it is, “I do whatever.”

If you do “whatever,” then you might feel like nothing is getting done and scattered all day. Having a clear and focused job description or primary role in the practice can help create a more organized, productive, and stress-free day.

Get ready for the Year End Process in your Dentrix software. Breaking News . . . it’s not any different than your Month End Process.

I have written about the Dentrix Month End Process before, so I am going to refer you to that past blog post for information and recommendations. There are a few key tasks that you want to make sure are running to ensure you start on January 1st with the ability to give patients an accurate treatment plan estimate and collect patient co-pays. You also want to make sure you can generate accurate accounts receivable reports for the beginning of the year and make sure your YTD numbers have been updated.

In my last blog post and podcast, we talked about why it might be important to keep your patient ledger balances clean and your provider account balances accurate in your Dentrix software. By now you might have already started working on “weeding the garden” and having a beautiful Provider A/R Totals Report to look at every month. I want to keep you on this path, so I have some recommendations for you.

One of the first things you should do is make sure your default settings for allocating payments and adjustments is set up the way you want it. This will make sure that your team won’t have to manipulate payments because Dentrix will use your default settings and, since your patient ledgers are more accurate, you can just let it do its thing.

Does it drive you crazy when you are posting a patient payment and it splits up the payment in a way that makes no sense to you? Or do you find yourself always having to fix the patient payment so it applies the payment to the correct provider?

Today we are going to tackle the issue of allocating payments properly on the Ledger and fixing the provider credits. In Dentrix, you can apply payments to the patient and allocate the payment to the different providers. However, most practices do not split the payments accordingly and then the patient balances and the provider A/R is not accurate. Fixing the patient’s ledgers can be bit of a project. However, if this is one of your 2023 New Year’s Resolutions, there are some things to consider before you jump in.

We are coming up on that time of year when many of you might be working on your office to-do list while the boss takes some time off during the holidays. I know when I was in an office, I would put together my plan for what I was going to work on while the office was closed. The clinical team would work on projects like removing everything from all the drawers in the treatment rooms, reorganizing supplies, and cleaning all the ins and outs of all the cupboards. At the same time, the admin team works on projects left on the back burner until they have “free time.”

One of our live Novonee webinars this month was the top three KPIs the clinical team should be monitoring. The reason I thought this would be a great topic is because most clinical team members did not go into this field of work because they wanted to learn how to run a business. What I do know is that you do become a clinician because there is a lot of income potential with dental hygiene and assisting. When you know what numbers you can influence in your practice, the potential for practice profitability goes up which will make your compensation go up.

The top three KPIs we talked about during our live webinar a couple weeks ago were net production per day/hour, dental supplies, and your time sheet. All three of these important numbers directly affect the practice revenue and profitability. The definition of profitability is revenue — expenses and the clinical team has the power to influence both of these pieces of the practice Profit & Loss Statement. That is a lot of power!

A couple of weeks ago, I had a timely conversation with my good friend, Teresa Duncan, and it made me think about all the offices I have worked with that are still using the Dentrix procedure code note for clinical documentation. Now, if you have no idea what I am talking about, read on. For those of you who do know what I am talking about, you have some work to do.

Now is the time to make the transition over from the procedure note box to the Dentrix clinical note templates. Back in the day, we could create a clinical template that would post directly to the procedure code as soon as you posted it complete. Back in the day, this was the most efficient and only way you could electronically write down what happened during the visit today. It was fast, complete and easy … but it came with some critical drawbacks.
