  • How to Protect Your Business with Proper Documentation - EP 134

In this episode, I'm talking about one of the most important things you need when scaling your business: a robust Electronic Medical Record (EMR) system. If you want to grow your business, especially across multiple locations, you need an EMR that allows you to easily toggle between locations without signing in and out. I'll explain why this is so important, particularly when your clients are moving across cities or even states. Whether it's moving from LA to Nashville or Las Vegas to Dallas, an effective EMR allows you to seamlessly continue client care and keep all documentation up to date, no matter where they are.

But having the right system is only part of the equation. I'll also share why having a solid legal team to review your consent forms and documentation is critical for protecting your business. I'll talk about a great legal team I use, Bird A Dotto, and how they help me ensure everything is compliant and legally sound. Along with that, I'll dive into why proper documentation should be a core value in your business. The mantra here is simple: if you didn't document it, it didn't happen. I'll break down the importance of keeping thorough, clear records and reviewing them regularly to ensure your team is on track.

Scaling a business isn't just about growth; it's about setting up systems that allow you to maintain control, stay organized, and avoid costly mistakes. So if you're ready to scale and ensure your clinics or business are legally protected and efficiently run, tune into this episode for valuable tips on EMR systems, legal protection, and the art of proper documentation.

  • Fling The Damn Starfish - EP 133

Entrepreneurship can feel like drowning in an endless flood of tasks, and if you're not careful, overwhelm can paralyze you. But here's the truth: being overwhelmed doesn't have to mean giving up. In this episode, I'm sharing a mindset shift that changed everything for me. Inspired by a story about a girl saving stranded starfish one at a time, I'll explain how focusing on just the next task—flinging one starfish into the ocean—can break the cycle of overwhelm and keep you moving forward.

We'll talk about how to reframe the reality of having a million things to do. Instead of looking at the whole beach, zero in on the task in front of you and knock it out. I'll share my personal experiences, including how focusing on one step at a time has helped me build momentum in my business, make progress toward my goals, and avoid the burnout that derails so many entrepreneurs. It's not about doing everything at once—it's about doing one thing well and letting that action lead to the next.

If you're feeling stuck or tempted to tap out, this episode is for you. I'll share practical insights and a bit of tough love to remind you that how you do everything is by doing one thing at a time. So take a deep breath, stop staring at the whole beach, and pick up the next starfish. By the end of this episode, you'll be ready to tackle your business, one task at a time, with renewed focus and confidence.

  • Is Your Self-Care Lame or Legit? - EP 132

Taking care of yourself physically is the foundation of success, whether it's in your personal life or business. In this episode, I dive into why exercise and eating well are non-negotiables for self-care. From the energy and focus that come with a healthy lifestyle to the mental clarity and long-term benefits, prioritizing your health isn't just about looking good—it's about performing at your best. I'll share why small, consistent actions, like moving daily and making smarter food choices, can make a massive difference in how you show up in every area of your life.

We'll also talk about practical ways to build healthier habits without overcomplicating things. You don't need an elaborate gym setup or hours of free time—just a commitment to move your body and fuel it with the right foods. I'll share some of my own experiences, including how focusing on the ingredients in what I eat completely transformed my perspective on "healthy eating." Plus, we'll discuss how taking time for yourself, even in small ways, can sharpen your mind and make you more effective in your work and relationships.

Finally, we'll explore the connection between self-care and productivity. Whether it's finding moments of quiet, journaling, or recharging with activities you love, self-care looks different for everyone. • How to Build a Communication System That Scales - EP 131

Communication is one of the most important factors in scaling your business. And I'm not just talking about internal communication within your team—I'm talking about clear, concise, and consistent communication with your clients. Your clients are busy people, juggling countless responsibilities, so wordy emails or cluttered messaging won't cut it. That's why having a reliable messaging platform is a game changer. For my business, we use a system we built with DEF CON 1 Marketing. It's a powerful CRM that lets us text, email, and call clients seamlessly, ensuring no message falls through the cracks. Trust me, using your personal cell phone or Facebook Messenger for client communication is a recipe for disaster.

With a robust CRM like DEF CON 1, we've automated follow-ups with built-in email sequences, text messages, and even voicemail drops—designed to keep clients engaged for an entire year. These reminders aren't just for leads; they're essential for existing clients too. Appointment reminders are key to ensuring clients show up. Our system sends booking confirmations and reminders at 48 hours, 24 hours, and the day of the appointment. While it might sound like overkill, the truth is, most clients appreciate the consistency and reliability. If one out of ten people complain about too many reminders, that's fine—they're probably not the kind of client we want anyway.

At the end of the day, having a systemized approach to client communication and follow-ups will elevate your business to the next level. Whether you're using DEF CON 1 or another CRM, what matters is that you have a system in place and stick to it. Write standard operating procedures for how often to follow up, call, and remind your clients—it makes a huge difference. Thank you for tuning into the Spinoso Podcast! If you found this episode valuable, I'd love your support—like, share, and subscribe, and spread the word. I don't run ads for the show, so your feedback and engagement mean everything to me. • Objectively Evaluate, Consistently Elevate - EP 130

Last month, I had the honor of speaking to the management team at Integrity Auto. As usual, I put a ton of effort into preparing, and by the end, I heard nothing but praise from the audience and the owner. But as I drove home, I found myself questioning whether I had truly done a great job. Speaking to a predominantly male audience was a unique challenge for me since I typically speak in the medical and aesthetic entrepreneur space, where the majority are women. And let me tell you, women are incredible audiences—they nod, laugh, smile, and even get emotional during your talk. That kind of feedback feels amazing as a speaker. But with men? Their stoic expressions can make you second-guess everything.

That's when I reminded myself of a hard truth: my feelings don't matter. Whether I feel like I crushed it or fell short, what truly matters is objective feedback. That's why I've developed a system to evaluate my performance, one that cuts through the noise of self-doubt. I work with a coach to refine my content and delivery, and after every speech, my team follows up with the client to collect meaningful data. We ask key questions to understand what resonated, what didn't, and whether the keynote achieved its intended purpose. We even ask the tough questions: Was the keynote a success or a failure? How likely are you to invite me back? This data is invaluable because it's honest, direct, and focused on growth—not just making me feel good.

As a speaker and entrepreneur, I've learned that systems are the key to success. Feelings can mislead you, but a well-designed system can help you analyze feedback, identify weaknesses, and amplify strengths. It's not about ego; it's about getting better every single day. That's why I challenge myself—and you—to evaluate everything with objectivity. Whether it's your performance, business, or personal life, having a system in place to measure and improve will consistently elevate you to new levels of success. Remember: feelings lead to failure, but systems lead to success.

  • High Standards or Neurotic Perfectionism: How Can You Tell the Difference? - EP 129

Today, we're diving into a topic that resonates with so many entrepreneurs: high standards versus perfectionism. These two mindsets may seem similar, but they produce vastly different results. High standards drive action, progress, and growth, while perfectionism often leads to overthinking and paralysis. In the medical field, for example, I've seen countless colleagues fall into the trap of perfectionism, trying to solve every problem before it even exists. That mindset doesn't work in business or life. Mark Cuban's quote, "Perfectionism is the enemy of profitability," couldn't be more accurate. Today, we're breaking down the difference and sharing actionable strategies to embrace high standards without falling into the perfectionist trap.

When Brent and I were scaling Genesis, we had no time for perfectionism—we just implemented, adjusted, and kept moving forward. Sure, we made mistakes, but we learned from them and created better processes along the way. The key is urgency and execution. Too many people wait for the "perfect" moment or product, wasting time trying to predict every possible issue. The reality is, the challenges you anticipate often aren't the ones that show up. Growth and innovation happen when you take action, embrace mistakes, and refine as you go. High standards allow for flexibility, mistakes, and progress, while perfectionism shuts down opportunities for growth by focusing on an unattainable ideal.

Finally, accountability plays a huge role in maintaining high standards. At Genesis, we've built a culture where mistakes are opportunities to learn and innovate, not reasons for retaliation. We encourage open communication, personal responsibility, and proactive problem-solving. High standards start with you—your willingness to improve yourself and take ownership of your actions. Perfectionism, on the other hand, shifts the focus to others, creating a toxic blame game. If you want to scale your business or grow as a leader, focus on holding yourself accountable and embracing the lessons that come with imperfection. Let's explore how this mindset can transform not just your business, but your life.

  • Winning with Strategic Partnerships - EP 128

Today, I'm diving into the importance of strategic partnerships and how I approach building alliances that are always win-win. When I approach business owners, I'm not looking to take over or disrupt; instead, I aim to build relationships, understand their goals, and collaborate to help them achieve their aspirations. Whether a business is for sale or not, the key is tact. It's not about saying, "Hey, I want to buy your business," but about learning their "why." Every clinic owner has unique goals—whether it's earning more income, growing their clinic, or reducing costs—and by understanding their motivations, I can offer solutions that align with what they want most.

The heart of successful partnerships is collaboration, not competition. I've found that many business owners carry the weight of managing everything themselves—marketing, bookkeeping, operations—with no one to share the load. By stepping in as a partner, I provide not just resources but also support, which often lifts a massive burden off their shoulders. These relationships aren't just about growth; they're about trust. My partnerships extend beyond clinics to include marketing and pharmaceutical companies, ensuring that every collaboration enhances the quality of service we provide to clients, patients, and staff. Keeping the door open to work with others is crucial for building something extraordinary.

Lastly, one of the biggest lessons I've learned is that no one succeeds alone. Even the world's most successful entrepreneurs, like Elon Musk and Jeff Bezos, built their empires with the help of strategic partnerships. Musk didn't create PayPal on his own, and Bezos sold portions of Amazon over the years to form alliances that made both him and his company stronger. If you want to build a massive business and achieve unparalleled success, seek out partnerships that allow you to win together.

  • Trust the Damn Process: The Myth of Orpheus and Eurydice - EP 127

Welcome to the Spinoso Podcast! Today, we're diving into ancient myths for entrepreneurs and overachievers, with a focus on the Greek tale of Orpheus and Eurydice. This myth is packed with lessons about trust, focus, and sticking to the process. Orpheus, a legendary musician, ventured into the underworld to save his love, Eurydice. Despite his talent and determination, doubt crept in at the last moment, causing him to look back and lose her forever. It's a powerful story about how losing focus at a critical moment can cost everything—a theme that resonates deeply in business and life.

As entrepreneurs, we all face moments when doubt and impatience threaten to derail us. Orpheus' journey mirrors those times when we've done the work, followed the plan, but haven't yet seen the results we hoped for. The key takeaway? Trust the process. When you're building something big—whether it's a business, a brand, or a personal goal—there's a stage where you simply have to keep going, even when it feels like progress is invisible. Trusting your plan and staying focused on the finish line can make all the difference between success and failure.

This myth also reminds us that success is about moving forward, not looking back. Dwelling on past mistakes or second-guessing every decision can distract you from the path ahead. Orpheus lost everything because he let his fears overpower his faith in the process. For us, the lesson is clear: stay the course, believe in your work, and don't let doubt pull you off track. Keep moving forward until you're fully in the light of your goals. Thanks for tuning in—let's build something extraordinary together!

  • Teaching Your Team To Make More Money and Manage It Better - EP 126

Today, we're diving into a powerful and often overlooked topic: promoting financial literacy among our teams. We've all heard the stories of people who create massive success—building millions—only to end up broke. It's not just about how much you make; it's about what you do with it. As business leaders, we need to go beyond offering competitive salaries and start investing in our employees' financial knowledge. Many of our team members, even those with great incomes, feel financial strain simply because no one has ever taught them how to manage their money effectively. This episode is all about how we, as leaders, can help our teams make better financial decisions and live more secure, stable lives.

In my experience, keeping great employees isn't just about the paycheck—it's about showing them you genuinely care. Teaching financial literacy can be a game-changer. Whether it's providing resources like Dave Ramsey's Financial Peace University or gifting books like The Automatic Millionaire, giving employees the tools to manage their finances sets them up for long-term success. I've seen firsthand how focusing on budgeting, saving, and smart investments can shift not only an individual's financial trajectory but also their mindset. It's not about offering financial advice but fostering a culture where employees are encouraged to live below their means and focus on building a future. When employees know we're invested in their well-being, it creates loyalty and trust that's hard to find elsewhere.

We'll also explore the importance of aligning spending with long-term goals. From downsizing to save for a business venture to skipping luxury purchases, success often comes from making intentional sacrifices. Whether it's deciding not to buy a pricey coffee every day or trading handbags for a house, living below your means is key. This episode offers practical advice, personal stories, and strategies to empower your team to make smarter financial choices. Ultimately, when employees thrive financially, it benefits not just them but the entire organization. Let's make financial literacy a priority—because investing in our teams means investing in the future.

  • Scaling Your Business with the Right Partnerships - EP 125

When it comes to partnerships and strategic alliances, I've always believed in creating win-win situations. Many times, when I approach business owners, their clinics aren't for sale, and they may not even be considering growth. As a result, people often get defensive when you ask if they've thought about selling or scaling. That's why I take a different approach—I focus on building relationships first. I make it a priority to learn about their business, their goals, and their "why." Everyone is driven by their own aspirations, so understanding those is key to offering solutions that align with their needs. Whether they want to increase income, expand to multiple locations, or reduce costs, I show them how collaboration, not competition, can help them achieve their vision.

I've found that many business owners are used to carrying all the weight themselves. They handle everything—marketing, bookkeeping, operations—and often have no one to share the challenges with. Offering support, resources, and even a sense of partnership can be a game-changer for these owners. Sometimes, they're even willing to give up equity in exchange for having someone who is in the trenches with them. This same principle applies to the partnerships we build with service providers, like our marketing and pharmaceutical companies. These relationships allow us to run smoother, provide better customer service, and ultimately grow stronger. It's all about creating alliances that benefit everyone involved.

One of the biggest mistakes I see entrepreneurs make is thinking they can do everything alone. Even the most successful people, like Elon Musk and Jeff Bezos, built their empires by leveraging strategic partnerships. Bezos owns less than 9% of Amazon now, yet his collaborations have made Amazon a global powerhouse and him one of the richest people on the planet. The lesson here is clear: if you want to build a massive, successful business, you need to seek out partnerships and focus on growing together. No one achieves greatness alone, and the sooner you embrace the power of collaboration, the closer you'll get to your goals.
