    Episode Transcript:

OWEN: My guest today is Anthony Santini and he’s the owner of Hybrid Salon. Anthony, welcome to the show.
ANTHONY: Thank you. It’s great to be here.
OWEN: The whole goal of this podcast is to get entrepreneurs like yourself who has been able to systematize their entire business so it runs without you, to come in here and share how you did it, so that we can go through that journey of how you actually did it. But before we talk about the experiences you have let’s talk about right now. What are some mind blowing results that you now experience as a result of going through that process of systematizing your business?
ANTHONY: The most amazing thing that I can say is that I don’t need to be present 100% of the time. I really didn’t think that was possible because I’m in a people business but I really don’t need to be there.
OWEN: That’s awesome. How has your company been transformed as a result of systematizing your business?
ANTHONY: It’s passed on a lot of accountability to my employees that really stepped up and taken control of what they’re doing. So it’s allowed them to have some responsibility and leadership in their roles. But for my business itself it’s just allowed it to grow, because I have a chance to work on advertising, publicizing, and getting people to the doors versus doing the work.
OWEN: Wow, that’s so true. We’re going to talk about what exactly your business is in a minute. I’m wondering how has your personal life been transformed as a result of systematizing your business?
ANTHONY: Well, I have wonderful time to do the things I enjoy. For myself personally I’m someone who really enjoys looking into other business ventures. It gave me a chance actually to step away from working so hard. And I found another business to invest in, and another business to start. For me it’s given me more time to create more income for myself and more growth.
OWEN: Yeah. I think during the pre-interview you mentioned as a result of systematizing your business you’re able to acquire another salon and now you’re in the process of opening a beauty school just so the listener knows what you’ve been able to achieve. And so I’m wondering now since you have systems already in place that allows the business to run without you. What will you say has been the longest time you’ve been away from it?
ANTHONY: I’ve been away from the business for a couple of months now toward the beginning of the year we started this systemizing process.

    Episode Transcript:

OWEN: My guest today is Sean Hopwood and he’s the president at Day Translations. Sean, welcome to show.
    SEAN: Thank you very much.
OWEN: This show is all about getting entrepreneurs on here who’ve been able to systematized their business so that it runs successfully without them. And you get to talk about how you’re able to do it. Before we talk about the details or the steps you took to systematize your business I want to share with the listeners what are some mind blowing results that you now experience as a result of going through that process of systematizing and automating your business?
SEAN: Some of the most mind blowing results that I’ve experienced myself are just the growth. And being able to systematize your business and automate your processes has allowed our company to grow exponentially. We’ve gone from a small company in Tampa, Florida with few clients just in the area, to a multi-national company. Now we have over six offices in the United States and we have an office in London, England in Dubai. So systematizing our process has allowed us to exponentially grow to this size.
OWEN: Awesome. How is it that your company has been transformed as a result of systematizing your business?
SEAN: Our company has been transformed in so many different ways. We have been able to grow from just serving our clients locally here in Tampa, Florida, to grow in our employee database. And in growing our employee database and our clientele has allowed us to grow exponentially. For example we’re an interpreting and translation company so we have to have translators or interpreters in any city in the world. This is something that wouldn’t be very easy if we didn’t have any automation and process because thousands of cities, thousands of interpreters, and thousands of languages that we have to translate. In order to do this we have to systematize the way in which the interpreters apply to our company because we had to be able to provide an interpreter not only in Los Angeles, United States, but in St. Petersburg, Russia, or Paris, France, or Dubai. We had to systematize the way that interpreters could apply to our company in order to grow to the size that we are today.
OWEN: How will you say your personal life has been transformed as a result of systematizing your business?
SEAN: My personal life has been transformed greatly.

    Episode Transcript:

OWEN: My guest today is Jennifer Reitmeyer and she is the president of MyDeejay. Jennifer, welcome to the show.
JENNIFER: Thank you so much, glad to be here.
OWEN: This interview is all about getting entrepreneurs to come in here to talk about how they’ve been systematized their business so it runs successfully without them. Before we get started I want to show the listeners what are some mind-blowing results that you now experience as a result of going through that process of systematizing and even automating your business?
JENNIFER: I think by far the most mind-blowing and significant result that I’ve had is just the sense if freedom that I’ve got from being able to systematize my business. It’s really freed me to pursue other business ventures, personal projects, passion projects, things I wouldn’t have had time to do if I was still having to do everything within my business by myself without systems. So that’s definitely been the biggest change.
OWEN: You also mentioned something about your upswing in revenue. Talk about that.
JENNIFER: Definitely. By the time when we really started to implement systems within our business we actually noticed a revenue jump that close to doubled. I think a big part of that was that not only did it empower the people that worked for me to be able to do their jobs more efficiently and get more done, but it also freed me up to rally be kind of a leader of our company without having to be so much at the trenches so to speak. It enabled me to really focus on strategic leadership for our business and expanding our reach at being able to think in a bigger picture because all of the little tasks were systematized.
OWEN: Okay. How has your company been transformed as a result of systematizing your business?
JENNIFER: I would say in addition to the revenue jump that I mentioned. It really cost us to think about our business more pragmatically and more strategically. We went from being kind of a fly by seat of your pants kind of a company to really operating with purpose. Being able to put thought into every aspect of our business operations. When we first started out we weren’t really sure exactly how big we were going to get. We’re thinking small. My business partner at the time and I, it was just the two of us. We were thinking on a smaller scale.

Owen: My guest today is Bill Sterzenbach and he’s the partner at Upward Brand Interactions. Bill welcome to the show.
Bill: Thanks for having me Owen.
Owen: This podcast is all about getting guests like who’ve been able to systematize your entire business so it runs successfully without you, come on here and share the story of how you’re able to do that. But before we even talk about the journey of how you’re able to systematize your business what are some mind blowing results that you now experience as a result of going through that process of systematizing and automating your business.
Bill: Actually from the business perspective one of the most substantial results that we’ve seen is in the on boarding and training of new members of the team. In the past we had to hire based on experience. Today we can hire based on the character and the personality, the drive that all the other intangible properties that we know. Because we have a process in place we can train people to do the work and hire people for the people themselves. That’s been pretty substantial for us.
Owen: That’s awesome. I really love that. You basically get people who are the right people who are the right fit under the bus and you know that there’s a system that you can apply them to, and they will hit the ground running real quick as opposed to hiring someone without their experience but then they’re not the right fit. And you’re struggling to figure out how can we get this person out.
    Bill: Exactly.
Owen: How would you say the company has been transformed as a result of systematizing your business?
Bill: The significant ways is somewhat related to that. Our customer also gets a really smooth and predictable experience. Because we have a step wise approach based on the fact that our services have been built around the concept of process, our customers are not being surprised. One of the examples I share with people a lot is if ...

    Episode Transcript:

OWEN: My guest today is Dr. Daniel Margolin and he is the CEO at New Jersey Foot and Ankle Center. Dr. Daniel, welcome to the show.
DR. DANIEL: Thank you so much for having me. I’m very excited to be here.
OWEN: Awesome. This show is all about having you talk about what you did to actually systematize your business, because every guest we come in here, the assumption and the fact is they systematize their business and it runs successfully without them. And so we want to know how you’ve been able to do that. But before we talk about that what are some mind blowing results that you now experience as a result of going through that process of systematizing your business?
DR. DANIEL: One of the main things is you actually don’t have to be there anymore and you continue to run. It gives you back your life and the respect that you know where everything is. You can predict the future. You can actually have an income prediction you could say. A lot of my friends that don’t have systems in place are really worried on a day to day basis how am I going to survive, how am I going to make the mortgage, I don’t have those worries because I can actually predict based on the systems where my business is going to be next week, next month, or next year. It puts me back in control. And it’s a more fun environment because as we put more and more systems in as we organize it more we also find that the staff are happier. So it’s more fun, more effective, and it’s more financially rewarding.
OWEN: How has your company itself been transformed as a result of systematizing the business?
DR. DANIEL: It went from a company that was barely surviving, barely hanging in there. A company where even the staff, if they didn’t have clear descriptions of what was expected of them. And they didn’t even know was the company going to be there in the next year. There was no prediction of the future for that company. So we went to like, wow, not only are we going to be there, we’re dominating our field. There’s nobody around us that’s even competing with us. We don’t compete anymore, we actually dominate.

    Episode Transcript:

OWEN: My guest today is Jeff Newcorn and he is the CEO of R. Jeffrey and Associates, Inc. Jeff, welcome to the show.
JEFF: Good to talk with you Owen.
OWEN: So this show is all about getting guests in here who have been able to systematize their entire business so it runs successfully without them. Let’s dive right in. What are some mind-blowing results that you now experience as a result of going through the process of systematizing and automating your business?
JEFF: First of all we’re now a million dollar company, and we’ve been able to get there with just for people. Some of the analytics we used we realize we measured gross product margin, and our profit margins are north of 80% which I think would probably be the envy of most small businesses.
OWEN: Eighty percent for a service business? Wow. That is something.
JEFF: Yeah, it’s pretty impressive. And I think we also do a good job of watching cost of goods sold. We have some good controls on there, some systems in place to make sure that those types of cost are controllable and predictable.
OWEN: Wow. The next question I have for you is how is your company being transformed as a result of systematizing your business?
JEFF: Well, the transformation has been really getting word on I’d say the same amount of resources in terms of people, in terms of the results that we get are very predictable. We have added in a system that’s pretty much scalable to grow with us. There’s less stress because there’s more procedures in place, there less stress because there’s a solid system in place. And I think I do a really good job of communication priorities to our staff. The staff response is very well to that because sometimes priorities shift. We do things like weekly staff meetings which are a great way. Talking about things like clients, problems, and challenges. That way if things shift we can always re-align on what’s really important for us. And we’re a very open environment. Very transparent, our staff knows the kind of money we earn. They know the key issues. And the more I avail to them the easier it is for them to do their job knowin...

OWEN: The reason for this show is to go out there and look for entrepreneurs and who have been able to systematize their business so that it can run successfully without them. And in your case we brought you in here to talk about how you were able to do that. And before we even talk about how you’ve been able to systemize your business let’s give the listeners some of the blind blowing results that you now experience as a result of systematizing and automating your business?
TARA: Sure. I love to answer that. I would say, there’s two different sets of results. There’s internal results so that I can actually take a step back and not feel like the weight of the company and the quality of our work fully rest on my shoulders. That’s a huge burden taken off me. And then second, we’ve just been able to get better results for our clients. We’ve been able to put out better quality level of work. And just very thorough work that really sets us apart from other agencies with these checklists that we have in place and with our systems. Now, we’ve been having the best quarter ever. It can be scary especially when you’re a small business and all of a sudden your workload triples.
OWEN: And basically with the systems now it sets off a growth mode, right?
TARA: Exactly. Because we have our processes in place it’s much easier for me to higher our part-time contractors for example. With the systems they can follow the system, they can follow the checklist that we have in place. And so it also takes a lot of time away off our shoulders for training as well. And there are still some training but it’s not as intense, starting from scratch every time.
OWEN: How will you say your company has been transformed as a result of systematizing your business?
TARA: I would say that everyone knows what they need to do. Everyone has their role. And then the quality of stored aspect goes out,

JONNY: Thank you very much Owen, good to be here.
OWEN: The goal of this interview is to get entrepreneurs in here who have been able to systematize their business and talk about how they did it. Before we get started I want to know, what are some mind-blowing results that you now experience as a result of going to the process of systematizing and automating your business?
JONNY: I guess the biggest one is I’m Skyping at the moment from the foothills of Table Mountain in Cape Town. I’m British for anyone listening. I’ve been living out here for about 6 weeks now and I have another 6 weeks to go. This is the 8th country I’ve now lived in. And I sent 50% to 75% of the last 5 years travelling and living around the world basically as a result of systemizing and automating the business. I guess that’s as mind-blowing as I can make it.
OWEN: That’s awesome. During the pre-interview you mentioned how in 2009 you 80-20’d your business. What did you mean by that?
JONNY: In 2009 I read a book, which I guess a lot of people listening to this podcast have read, by Tim Ferriss called The 4-Hour Workweek, and one of the chapters was about Pareto’s Law of the 80-20 Rule. I kind of heard about it before but having him explain it and what he did with his business I thought, well, I have a similar type business, let’s try and do it on mine. And so I did. The results were pretty astonishing. After 80-20 my business I found that actually the law… I was a bit dubious at the beginning but I found that about 80% of my revenue was coming from about 20% of my customers. I sort of did exactly what Tim Ferriss did, ditched all the guys that weren’t working, focus on the guys that were. And then my business partner and I initially moved to Thailand in 2009.
OWEN: Let’s talk about in more detail about what actually did regarding the 80-20. But I’m curious, how has been your company been transformed as a result of systematizing your business?

Starting out, what are some mind blowing results that you now experience as a result of going through that process of systematizing and automating your business?
PAULA: Sure. First and foremost we started from having absolutely no students. We had students where we way today have close to about 300 members in our community.
OWEN: So from zero to 600 students. That is awesome. I’m curious too, how has your company been transformed as a result of systematizing the business?
PAULA: Well, the most important thing is I’m not the center of the business. I don’t have to do every single thing that we do here. We’d be literally impossible to do every single thing in a business that generates about $1.3 million a year. That’s number 1. The number 2 is that the more I systematize the freer I am to do other things that are important for the business so that we grow.
OWEN: You mentioned something about how as a result of systematizing your business now you’ve empowered others to become leaders. Talk about that.
PAULA: That’s very important. As businesses grows you don’t want to be the only leader in the company. Entrepreneurs have to be very aware that it’s important to have other leaders within their companies. One of the most important benefits is that we’re able to speak the same language and therefore I have other leaders. We’re creating other leaders in the company as well.
OWEN: I think during the pre-interview you mentioned how the leaders that you’ve now created in the company feel like they have a piece of the ...

    Episode Transcript:

OWEN: My guest today is Laura Zander and she is the co-founder and CEO of Jimmy Beans Wool. Laura welcome to the show.
LAURA: Thank you so much. Good morning.
OWEN: This podcast is all about bringing out entrepreneurs who have been able to systematize their entire business and talk about how they were able to achieve such a feat. Let’s start out by asking you Laura, what are some mind blowing results that you now experience as a result of going through that process of systematizing and automating your business.
LAURA: I think the greatest mind blowing result is the fact that it is right now for me 8:30 in the morning. My 5-year old son is sick, my husband just went to work, and so I am sitting in my pajamas right now in my home office while my kid watches a show and my business is still running. It’s Monday morning and I’ve got 40 people making sure that everything’s great and they don’t need me. So my son needs me more then I can be home. That’s really cool.
OWEN: That is awesome. How will you say your company has been transformed as a result of systematizing your business?
LAURA: I think along the same lines… One, it’s more scalable that it’s ever been. We can continue to grow and keep up with the growth. And that was something before we had systems in place. My husband and I run it together but we were the bottlenecks. You can’t scale when it’s human-based instead of systems-based.
OWEN: And I think during the pre-interview you mentioned how you’ve adopted the E-Myth model of franchising the business.
LAURA: Yeah, that was a turning point for sure was reading that and then I actually… I don’t know if they do them anymore but I actually went to one of their onsite seminars, so it was a multi-day event up in Napa County.
OWEN: And you also mentioned you opened two shops. Talk about that in regards to the growth rates and stuff like that.
LAURA: We originally just had a little tiny shop about 500 square feet in a town in Lake Tahoe and it was...
